This policy explains how Aspire Trades LTD (‘Aspire’, ‘we’, ‘us’ or ‘our’) collect and use personal information when you visit alwaysaspire.co.uk or contact us. We are committed to protecting your privacy and handling your information openly and lawfully under the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations.

Aspire Trades LTD is a company registered in England and Wales under company number Aspire Trades LTD, with its registered office at 92 Blakefield Road, St Johns, Worcester, WR2 5DP. We trade as Aspire, Always Aspire, Aspire Design, Aspire Trades, Aspire Facilities Management and Aspire Lettings.

We are the controller of the personal information described in this policy.

The information we collect

We collect information you give us directly when you complete our contact form, email us or call us. This may include:

  • your name
  • your email address and phone number
  • your address or the address of the property your enquiry relates to
  • details of your enquiry and any other information you choose to share with us

We also collect limited information automatically when you use our website, through Google Analytics. This includes the pages you visit, how long you spend on them, how you arrived at the site, the type of device and browser you use and your approximate location based on your country or city. Google Analytics 4 does not log or store IP addresses. We cannot use this information to identify you personally.

We use Google Search Console to understand how our website performs in Google search results. Search Console provides us with aggregated data, such as the search terms that led people to our site. It does not place cookies on your device or give us information about individual visitors.

How and why we use your information

Under data protection law, we must have a lawful basis for using your personal information. We use your information for the following purposes:

  • To respond to your enquiry, provide a quote or take the steps you ask for before entering into a contract with us. Our lawful basis is that this is necessary to take steps at your request before entering into a contract or our legitimate interest in responding to people who contact us.
  • To deliver services you have agreed to buy from us. Our lawful basis is the performance of our contract with you.
  • To understand how visitors use our website so we can improve it. Our lawful basis is your consent, which you give through our cookie banner.
  • To keep records and meet our legal, tax and accounting obligations. Our lawful basis is compliance with a legal obligation.

We will not use your information for marketing unless you have agreed to it. We will never sell your information to anyone.

Who we share your information with

We only share your information where necessary and with organisations that must protect it. These include:

  • Ionos, which hosts our website

Where this happens, the transfer is protected by the UK Extension to the EU-US Data Privacy Framework, under which Google LLC is certified or by other safeguards approved under UK law. How long we keep your information

We keep enquiry information for [12] months from our last contact if you do not become a customer, allowing us to follow up on your enquiry. If you become a customer, we keep your records for six years after our work ends to meet our legal and accounting obligations. How we protect your information

We use appropriate technical and organisational measures to protect your personal information against loss, misuse and unauthorised access. Access to your information is limited to the people who need it to deal with your enquiry or deliver our services.

Your rights

  • ask us to restrict how we use your information
  • object to us using your information where we rely on legitimate interests

  • withdraw your consent at any time, where we rely on consent

To exercise any of these rights, contact us using the details above. We will respond within one month. You do not normally need to pay a fee.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can put things right. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.

Clients, tenants and landlords

This policy covers information collected through our website and enquiries. If you become a client of Aspire Lettings or Aspire Facilities Management or a tenant in a property we manage, we will give you a separate privacy notice explaining how we use the information needed to deliver those services.

Our website may link to other websites. We are not responsible for the privacy practices of those sites and encourage you to read their privacy policies.
